This presentation will explore and highlight strategies and approaches that can be implemented by conference leaders and decision-makers to construct professional events that are more inclusive and accessible to all participants. This working group will be facilitated by diverse leaders who will share their experiences as conference planners with nationally recognized organizations, and discuss affordances and barriers in creating an accessible and inclusive environment.
For this presentation, accessibility will refer to the design and implementation of environments, products, services, and information that can be easily accessed, understood, and used by all conference participants, regardless of their disabilities, age, or other characteristics. The goal is to create inclusive spaces and experiences that allow everyone to participate, engage, and have a sense of belonging without barriers. In the context of conferences, accessibility encompasses various aspects, such as physical and digital access to the conference and offering inclusive presentations and materials. According to Microsoft (2016), “every decision we make can raise or lower barriers to participation in society. It’s our collective responsibility to lower these barriers through inclusive products, services, environments, and experiences.”
The importance of accessibility at professional conferences cannot be overstated. Here are some key reasons why ensuring accessibility is crucial at professional conferences:
1. Inclusivity and Diversity: Accessible conferences create an inclusive environment that welcomes participants from diverse backgrounds, abilities, and experiences. This fosters a sense of fairness and promotes a level playing field for networking, learning, and professional development.
2. Knowledge Sharing: Conferences are platforms for knowledge sharing and learning. When events are accessible, valuable insights and expertise can be disseminated to a broader audience, enhancing the overall impact of the conference.
3. Innovation and Creativity: Inclusive conferences encourage diverse perspectives, leading to increased innovation and creativity. When people from different backgrounds and abilities collaborate, they bring unique ideas that can drive positive change and advancements in various fields.
4. Compliance and Legal Obligations: Many regions have laws and regulations regarding accessibility and inclusion for public events. Complying with these guidelines ensures that the conference organizers meet legal obligations and avoid potential legal challenges.
5. Ethical Imperative: Ultimately, accessibility at professional conferences is an ethical imperative. It is essential to treat all individuals with respect and dignity, ensuring that no one is left behind due to barriers beyond their control.
In summary, accessibility is vital for creating a more equitable, and vibrant professional conference environment, benefiting attendees, organizers, and the broader community alike.
During this session, participants will discuss their own experiences and needs when presenting or attending conferences. They will work collaboratively with the presenters to create a comprehensive list of actionable recommendations tailored specifically for conference organizers and decision-makers that creates a more diverse and welcoming environment fostering equal participation and engagement.
