Please note: According to the rules of the conference, as stated in the acceptance letter and on the website, presenting authors are expected to be available for the entire duration of the conference.

As mentioned in the acceptance letter, we are unable to guarantee (or avoid) specific dates or times for presentations. Scheduling conflicts for registered authors are automatically handled by the scheduling software. Therefore, we are not able to accommodate any further rescheduling requests. Given that this is a conference with over 2,200 participants, rescheduling a single presentation would affect not only the panel in question but also others, due to the necessary knock-on changes across the programme.

Information about scheduling

Each year, the ESC receives complaints regarding sessions scheduled at less favourable times or in rooms seen as less convenient by some participants. However, it is important to understand that due to the scale of ESC conferences, manual scheduling is simply not feasible.

Instead, the scheduling is carried out automatically by the built-in software on the AllAcademic platform. Sessions within the same thematic area are scheduled in the same room, in the order in which they were submitted by working groups or panel organisers. We only schedule parallel sessions within the same thematic area if the number of sessions exceeds the available time slots. This order is only overridden in cases where the software detects scheduling conflicts for session participants, which it resolves automatically without the need for manual intervention.
